Privacy Policy

Last updated: September 2026

My Tender ("we", "us", "our") provides tender matching, document management and bid preparation services to construction businesses in Queensland. We are committed to protecting your personal information and handling it openly and securely.

This policy explains how we collect, use, store and disclose personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), including the changes made by the Privacy and Other Legislation Amendment Act 2024. Where we deal with Queensland government agencies and tender portals on your behalf, those agencies handle information under the Information Privacy Act 2009 (Qld).

1. What we collect

  • Contact and business details. Your name, email address, phone number and business name when you submit an enquiry, claim an offer or sign up.
  • Account information. Login details and profile information for the My Tender client portal, including your trades, service areas and team details.
  • Documents and certificates you upload. Compliance documents you store with us, such as QBCC licence details, insurance certificates, QLeave registration and safety documentation. These can contain personal information about you and your staff.
  • Usage information. How you use our website and portal, including pages visited and device and browser information, collected through cookies and similar technologies. On this website, analytics cookies are only used if you accept them. See our Cookie Policy for details and to change your choice.

2. How we collect it

We collect information directly from you: through forms on this website, through your use of the client portal, when you upload documents, and when you contact us by email or phone. We do not buy personal information from third parties.

3. Why we use it

  • To provide our services: matching you to tenders, storing and organising your documents, tracking expiry dates and preparing bid material.
  • To respond to your enquiries and provide support.
  • To send you service messages, such as expiry reminders and tender alerts.
  • To improve our website and services.
  • To meet our legal obligations.

4. Marketing

We only send you marketing messages where the law allows it, and every message includes a way to unsubscribe, consistent with the Spam Act 2003 (Cth). You can opt out at any time by using the unsubscribe link or contacting us.

5. Who we share it with

We do not sell personal information. We only share it with:

  • Service providers who help us run our website and portal, such as hosting, storage and email providers, under appropriate protections.
  • Government agencies and tender portals, only when you ask us to lodge or prepare something on your behalf.
  • Anyone else where you have given consent, or where the law requires or permits it.

6. Overseas disclosure

Some of our service providers may store information on servers located outside Australia. Where that happens, we take reasonable steps required by APP 8 to ensure your information is handled consistently with the Australian Privacy Principles.

7. Automated processes

We use automated systems to match tenders to your business profile, to score how well a tender fits your trades and regions, and to flag missing or expiring documents. These processes use the business and document information you provide. They help you decide what to bid on; they do not make decisions that deny you access to our services. This disclosure reflects the automated decision-making transparency requirements introduced by the Privacy and Other Legislation Amendment Act 2024.

8. Storage and security

We take reasonable steps required by APP 11 to protect your information from misuse, interference, loss, unauthorised access, modification and disclosure. This includes encrypted connections, access controls and reputable cloud infrastructure. No system is completely secure, so we cannot guarantee absolute security.

9. Data breaches

If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

10. Retention

We keep personal information only as long as we need it for the purposes above or as the law requires. When it is no longer needed, we take reasonable steps to delete it or de-identify it. You can ask us to delete documents you have stored with us at any time.

11. Access and correction

You can ask for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below and we will respond within a reasonable time.

12. Complaints

If you have a concern about how we have handled your personal information, contact us first and we will do our best to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. For information held by Queensland government agencies, you can also contact the Office of the Information Commissioner Queensland at oic.qld.gov.au.

13. Changes to this policy

We may update this policy from time to time, including to reflect changes in privacy law. The current version will always be available on this page with its last updated date.
